The practical answer
A business integration architecture should define which system owns each fact, which events move work forward, and how failures are reconciled. Start with a real handoff between teams. Draw the minimum connection that preserves business meaning, then specify its permissions, contracts, and recovery behavior before adding AI.
Map a complete business transaction
Follow one transaction from request to completion. A sales opportunity can become a customer, an order, an invoice, and a support relationship. Each stage may have a different identifier and owner. Document the transitions that matter to employees, including the manual steps used to resolve missing information.
A diagram of applications is only a starting point. Add the direction of each exchange, the business trigger, and the person accountable when it stops. For a distributed Tennessee company, check whether locations follow the same process before creating a single integration that assumes they do.
Define the contract before the connector
Write down the fields an exchange requires, what each field means, and which values are allowed. Include how records are identified and how changes are versioned. A field called status in two applications may describe different stages of work. Copying it literally can create a technically successful business error.
Decide what the receiver should do with incomplete or unexpected information. Rejecting an update with a useful error is often better than filling an unknown value with a guess. Assign someone to maintain the contract when either application changes. A connector does not remove that responsibility.
Design for repetition and delay
Events can arrive late, more than once, or in a different order from the underlying business activity. Stripe’s webhook documentation describes retry and ordering considerations for its event delivery. Treat that as a concrete reason to inspect the delivery guarantees of every provider you connect, rather than assuming they are identical.
Use durable identifiers to recognize repeated work, and check the latest source state when order matters. Keep an explicit record of progress so recovery can distinguish a transaction that never started from one whose response was lost. Reconciliation should compare business records, not merely count successful network requests.

Put AI inside a bounded integration
AI can classify a request or extract information before an integration validates and routes it. Keep the source text and the proposed interpretation distinguishable. If a required customer identifier cannot be established, send the case for review instead of allowing the model to invent a relationship between records.

Do we need a central integration platform?
A central platform can help when many connections need shared monitoring and access management. A small number of simple integrations may not justify it. Compare operational responsibility, existing tooling, and the ability to recover work before choosing the topology.
Can we integrate a system without a usable API?
Sometimes, through supported exports, imports, or a controlled user interface workflow. First inspect the vendor-supported options and their limits. Any approach should identify how it detects changed screens, missing records, and partial completion.
