The practical answer
Managed AI support should keep the complete business workflow dependable as models, documents, integrations, and employee needs change. Agree on monitoring, response responsibilities, evaluation, and recovery before launch. A support arrangement is useful when it makes failures visible and gives your team a clear way to restore ordinary work.
Define the service boundary
A working agent depends on more than a model endpoint. It may retrieve documents, read customer records, create drafts, and wait for approval. List each dependency and identify who can repair it. Your provider may own the integration while your internal administrator owns access to the business system. Both responsibilities belong in the operating agreement.
Define what counts as an incident. A failed request is easy to notice; a plausible answer based on an obsolete document can be harder. Include business outcomes in monitoring, such as a queue of unreviewed work or an unexpected rise in corrections. Agree on who receives each alert and what they should do first.
Monitor results as well as availability
A healthy server does not prove a useful workflow. Sample completed work against the original acceptance criteria, while respecting the sensitivity of the underlying data. Track unresolved cases separately from successful ones. A system that quietly routes every difficult case to a person may be available while its value declines.

Distinguish a missing record, an authorization failure, and an uncertain interpretation so support can address the actual cause.

Control changes without freezing improvement
Treat a new prompt, model configuration, document collection, or tool permission as a change that can affect behavior. Run relevant evaluation cases before release and retain the prior configuration. A small wording change can alter which cases are escalated, so checking only whether the application still starts is insufficient.
NIST’s Secure Software Development Framework describes practices for secure software development. Apply an appropriate release discipline to the application around the AI: reviewed changes, dependency maintenance, controlled credentials, and reproducible recovery. Your support agreement should explain which maintenance is included and which requires a separately scoped project.

Agree on recovery and handover
Write a short runbook for the person working when the system fails. State how to stop new actions, identify incomplete work, switch to the manual process, and resume without duplicating changes. Test the runbook during a planned exercise. A backup exists to support recovery, which must itself be demonstrated.

Common questions
Does support mean every answer is checked by a person?
The review model depends on the task. High-consequence actions may require approval every time, while low-risk drafts can be sampled. Specify the review rule and escalation path rather than assuming monitoring is equivalent to human approval.
What should a monthly support review cover?
Review incidents, unresolved exceptions, quality trends, upcoming vendor changes, and the next maintenance decisions. Include evidence of recovery readiness and changes in employee use. A report listing only uptime and request volume leaves important business questions unanswered.
